Why are we providing you with this Personal Data Processing Policy?

We have formulated this Personal Data Processing Policy to clarify the measures we take to ensure the security and confidentiality of your personal data. The purpose of this document is to inform you about the personal data we collect, the reasons, purposes, and sources of data collection, how the data is used, the persons to whom we may transfer the data, and where you can obtain further information about which of your personal data we process and how we ensure its security.

Please note that if you do not consent to the processing of your personal data or do not accept the privacy policy, you will not be able to submit your application.

The fact that we process your personal data means that we respect the fundamental principles of personal data processing and process your personal data exclusively in accordance with applicable laws, with particular regard to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (the General Data Protection Regulation), we determine the purpose and method of personal data processing, and ensure the adequate protection of your personal data.

We ensure the protection of your personal data with state-of-the-art technologies, and regularly evaluate and update our processes that provide protection for your personal data.

WHY DO WE PROCESS PERSONAL DATA?

Regardless of whether you are looking for a job, responding to a specific advertisement, providing us with your CV, or otherwise contacting us for job-related information (electronically, in writing, by phone, etc.), you provide us with personal data, which we process throughout the entire selection process, and in the case of a successful application, for the entire duration of employment.

We process your personal data exclusively for lawful purposes. Unless otherwise indicated, the personal data of job applicants is processed solely with their explicit consent or in connection with the performance of their contract with us. For example, if we retain your personal data due to a legal dispute, the basis for this processing is our legitimate interests. All transfers of applicants’ personal data to our contractual partners are based on the consent of the data subjects.

What personal data do we process?

We may process the following personal data or categories of personal data. This does not mean that we process all personal data listed below for every applicant. For example, we cannot fully list all personal data that job applicants send us in their CVs and other related documents. Please note that the examples are not necessarily exhaustive.

CV, or in the attachments to your response to the advertisement or your request for job-related information

For what purposes do we process your data?

We process your data for the purpose of filling newly created or vacant positions and selecting suitable prospective employees. The legal basis for data processing is GDPR Article 6(1)(a).
By collecting personal data, we enable the effective assessment of suitability for future positions based on professional knowledge, experience, and qualifications during the recruitment process. Specifically, we determine whether you are suitable for the given position, whether your qualifications, professional experience, and language skills meet the requirements stated in the advertisement, and whether the remuneration is in line with your expectations. This evaluation process can be classified as profiling under Article 4, paragraph 4 of the General Data Protection Regulation. By accepting our Privacy Policy, you consent to the use of your personal data for such profiling purposes.

We also collect and store personal data for the purpose of processing it for the objectives of the Ghibli Group as a future employer. On our website, you can submit attachments along with your application for a specific position. These attachments can be submitted voluntarily, and the personal data contained therein will be used solely to assess your suitability as a candidate for the given position.

Where do we obtain your personal data from?

Most of the personal data we process is obtained directly from you (e.g., via our website, when responding to job advertisements, by post, via Facebook, etc.). Occasionally, we also receive your personal data from third parties, for example, through external and internal referrals.

Where do we store your data?

CVs received electronically are registered by the HR department in its electronic information system. CVs submitted by post or in person are stored in physical files by the HR department.

How long do we store your data?

We store your personal data only for the period necessary for their processing purpose. We process your personal data for 2 years from the last contract concluded with us or our client, but at least for 2 years from the date of granting consent, provided that you do not withdraw your consent. Your data will be deleted when we determine that it is no longer necessary for any purpose for which it was provided for processing.

To whom do we transfer your personal data?

We process personal data exclusively within the Ghibli Group, with your explicit consent. However, personal data may be transferred to authorized state authorities, institutions, or other organizations if justified by conditions stipulated in law.

What are your rights?

You have the right to request information about your personal data and to access it. You have the right to request the rectification or erasure of your personal data, or to restrict its processing. Furthermore, you may object to the processing of your personal data or request data portability. However, please note that we are not always obliged to comply with your request for erasure, restriction, objection, or portability. We review our legal obligations and exemptions from these rights on a case-by-case basis.
